JOB DESCRIPTION

- Store all records of service contractors, including service contracts, list of contractor staff, evaluation sheet, service acceptance, timekeeping of contractors...

- Find quotes, negotiate service prices and prepare reports on signing new or renewed service contracts.

- Deploy operating procedures to service contractors, guide service contractor staff in implementing building operating procedures.

- Supervising the daily work of service contractors to ensure the quality of work and services according to prescribed standards.

- Schedule and arrange regular/unscheduled meetings with service contractors.

- Support the Head of the Management Board to control and evaluate the service quality of service contractors such as protection, cleaning, pest control, bonsai care, garbage collection...

- In charge of administrative work related to service contractors such as drafting contracts, working minutes, service quality assessment, timekeeping of service contractors...

- Collaborate with Customer Care Department to resolve tenants' requests and complaints related to the service quality of the building.

- Update information/reports on actual and estimated work against the approved budget to the Head of the Management Board on a daily/weekly/monthly basis.

- Follow up payables, be responsible for a clear purchasing process, comply with the building's bidding process guidelines.

- Control the cash processed at the office of the Building Management Board: invoices, deposits, fines... record the source of money.

- Supervising the process of tracking the number of assets.

- Maintain close relationship with government agencies, especially with tax and audit agencies.

- Perform other requests of the Head of the Management Board

JOB REQUIREMENTS

Graduated from university/college
Have about 1 year of experience in office administration position, office admin.
Proficient in office computers (Word, Excel, Power Point,...), ability to quickly search for information on the Internet, flexibility in using applications on phones or computers is an advantage (Google Drive). , Photoshop, Autocad, Office Applications, ...)
Good communication skills, friendly, quick to handle work, enthusiastic in work.
English: fluent communication.
Working time: Mon-Fri
